How to ensure your email is received and read by the addressee
Post 1 of 2
Outlook has many tools and filters to ensure the mailbox is not being used by advertisers or people with vicious device and ill motives.

Since 2003, Microsoft has introduced many such tools to ensure the safety of the user and to protect them from malicious elements such as spywares and spam mails. There is also Parental Guidience protection on the incoming emails.

Outlook blocks emails that are considered JUNK Mails and place them into a Junk Mail Folder. The Junk Mail filter are:
  • Safe Sender List (SSL)
    • email addresses in the Contracts folders are considered safe senders.
    • email addresses of people, who are not in Contacts folder, but whom you often corresponding with.
  • Safe Recipient List (SRL)
    • If you belong to a mailing list, or distribution list, you can add these names to your SRL.
    • If Automatic Picture Download is turned off or to email addresses or domain names in the SSL and SRL are treated as exceptions and contents that is otherwise blocked is downloaded.
    • If you have existing lists of safe or blocked names and addresses, you can import the info into Outlook.
    • Email addresses are matched exactly and specific address entries take precedence over domain name entries.
  • International List (IL) To block unwanted email message that comes from another country or region, or that appear in another language.
    • Blocked Top Level Domain List. E.g. select the US [United States], MX [Mexico] check boxes in the list. will block all emails from this country.
    • Blocked Encoding List (BEL)  This enables you to block all email addresses that are formatted in a specific language encoding, also known as character set.
      • BEL enables you to block unwanted international email that is displayed in a language you don't understand.
There are other blocks and email killers, such as Spam blocks, suspicious messages and phishing scheme blocks, banner restriction, graphic blocks, flash block and child filter block.

To make sure your email is being read, make connection with the receiver first, ask their permission to send this email, and also address the name of the receiver, with a clear Subject matter, and from you (identify yourself).

Basic key points to observe

1. If you need to send emails to more than one addresses, if the other addresses are put into CC category, they are considered as SPAM to the Mailbox.
Try not to make multiple receivers of the emails, if you must, then only put them into BCC or Block Carbon Copy.

2. Do not plague your emails into too many graphics, Mail box filters block do not welcome graphics, because of the fear of virus embedded in the graphics. Rich Text display does not allow graphics and enhanced format such as BOLD, or number tag, bullet tag will not be displayed.

3. Keep your mails short and straight to the point. Not more than 3/4 page of text.

4. Make your mails attractive and easy to understand, do not use difficult words with 3 syllabus or more.

5. You may adapt the writing styles of Newspaper and Magazine reporters, with attractive Headlines.

6. First impression is very important, make sure you spell check your Subject, and make it as short and tells about the contents as much as possible.
