How to write email sales letter that sells?

Emails are letters that are less formal, but have wider spread and bigger exposure and cross-borders outreach.

Today we are blessed with the World Wide Web where information is easily available to your own desktop or on the move in your laptop or mobile phone. If you were to search on the keywords with the above subject, you will get serveral views and advises on how to do it right. Basically, it is to meet your objective, as to the reason why you are sending the emails, what you have in mind to achieve and how would you rate your level of success.

The structure of the letter should be as:
  1. 1. Introduction - Attract the attention of the reader. by presenting them with the current situation, or a problem. Maybe an opportunity.
  2. 2. Body - Solution to the problem. Take the action to grab the opportunity. Give them a sense of priority, and limited time frame to act. Ask thought-provoking questions, such as: What can you do to help / seize the opportunity.
    1. 1. Sell benefits of your products, not features or other aspects, they may be appealling. Such as:
      1. a. Make Money
      2. b. Get More Sales
      3. c. Get more secured
      4. d. Living among the cream of society
      5. e. Good health and great family life.
    2. 2. Personalize your emails, address the recepients by name, and know their status, sex, and demograph group. 
      1. Address the reader by their due respect, such as : Your honour, to a judge, or Your Excellency to the President.
      2. If s/he is a PhD, as Dr. and as Mr. or Mrs. or Ms. (impersonal) or Miss. Do not mix surname with first name.
    3. Ask yourself the questions and answer them:
      1. a. Why you? - why should they buy from you?
      2. b. What is your part, role, and value-add to the product?
      3. c. Do you deliver clear message, simple and plain.Do you write professionally?
      4. d. Do you use jargons, Acroymns, abbrevations, or lingua franca.
      5. e. Is your address and body language courteous and a sense of humility?
      6. f. Are you "talking down" on the readers, or lifting your self up with pride?
  3. 3. Closing the letter with open invitation, include a call for urgent action, giving them a sense of reward if the action is taken swiftly.
    1. a. Write compelling text, with time frame.
    2. b. Give praise and appreciation to the reader for making this decision.
    3. c. Open for further correspondence.
    4. d. Always leave a contact number, email address or an open channel of communication.

An average American gets 300 emails a day.

The Internet brings us a new age of information dissemination, and highten the level of communication, so much that most of the information or messages are ignored by the receivers because they are weary of the number of scam cases, the enticements of big financial gains for nothing, and the mass-email advertisements by the myriads of companies, organisations of both profit and non-profit, gambling sites, and charitable organisations.

First priority is to get your email read by the recepient. I ran another search and found an interesting list of tips by Citi Business in their Newsletter. It lists 10 tips on how to write emails that sell:

1.  Make a point to tell the receiver where the email comes from, or who you are sending this mail.
2.  Make your Subject line stands out, draw their attention with stunning words to captivate their emotion.
3.  Give a call to action.
4.  Get to the point, bullet points are useful, condense full paragraphs into blocks and bullets.
5.  Encourge them to pass on your mail to others.
6.  Sell, Survey, Satisfy.
7.  Make it simple and easy to subscribe, or unsubscribe.
8.  Timing is everything.
9.  Test it, get feedbacks and fine tune your delivery of the message.
10.  Use your own circle of people first, internally within your company, and to your known customers first. Get their candid opinion and suggestions, and improve on your text.

Blood is thicker than water.

Never underestimate the POWER of the written words. The saying, the pen is mightier than the sword, tells us the mighty impact of the word. God created the world by His word, and "Man shall not live on bread alone, but by every word that proceeds from the mouth of God."

When writing a newsletter, or a business letter, sales proposal, or a Marketing Email, always remember the power of the word. Use impactive words, that carries the weight behind its hidden meaning. The title of this post tells us some subtle and some distinctive differences between the relationship of mankind, kinship, and blood relationship is always stronger and more resilient than the other relationship by baptism or brotherhood.

watched a show by Jim Carey, a father of a ten year old boy. Jim was a workaholic, and often make promises but seldom keeps, and before his son's birthday, he promised to be with him, but did not show up. Jim was spending the night with another woman.

The boy was disappointed when he could not see his dad at the party. He was to blow the candles on the birthday cake, and make a wish. He wished that dad could never tell a lie, and blew the candles.

From that instance, Jim could not tell a lie, and he was dressing up after sleeping with the other woman.Did you enjoy yourself last night. Jim answer, I have better ones, blurted out the truth. So she threw Jim out, and make his life miserable.[em2]

Someone said: "Honesty is the best policy." which is not always the case, you have to be tactful. If you are an Engineer, you will never fly in a plane, because you know all the mechanics about the plane, and so many things that can go wrong with them. You would not be going around telling people about the mechanism that can go wrong. However on the reverse, do not exaggerate or over promise and under deliver.

Writing a sales letter is as complex as the subject and approach which has to be harmonious with the overall strategy of the company.
It is a part of the Marketing Mix to promote the company's products, or a part of Marketing communication or advertisement.

The email is an integral part of the communication process, and it has to convey the whole message in a nutshell. So, one email may not be enough, there should be a series of mails, and messages leading to the sales. However the first email is the most important, this is call the "door opener" mail, the content has to be attractive, enticing and maybe pushy.

There are lots of books, softwares and service providers who will sell the "samples" or make you sign up for it, and templates of various types of emails are provided for the audience to choose.

Here, we are not allowed to publish emails of any company promoting any of their product due to legal reason. However, if you are very determine to learn how to write hot selling emails, you may post your own email up for us to do a critic and advise correction, with the permission of your company director.

First ask why do we need to send this email, the reason for doing this, is it for

* Product Introduction, launching of new product into the market,
* or is it to pitch your product against your competitors?
* Or is the email to maintain the communication line to existing customers who are already acquainted with your company.

The key to writing email sales letters is simple - clarity, honesty, and approachability.

Clarity
- A sales letter must be easy to read. This means that it should be written in plain language, free from technical terms. Subjects should be separated clearly, to make casual reading easy. Leading sentences for each paragraph must simply state the core idea of the rest of the paragraph. Remember, clarity sells. Companies do not want to buy products they do not understand.

Honesty - Sell your product, not what you wish your product was. When a person is looking to invest in a product, they need to know clearly what they will be getting. Leave off the sugar coating, and spell out all of the details. Honesty is key to generating repeat customers. If you tell less than the truth to one customer, they will never buy from you again.

Approachability - Being easy to talk to means that more potential customers will contact you. Keep a no pressure atmosphere, encourage questions, and be prompt when responding to customer contact. Encourage your customers curiosity. Present every product you sell in a novel and exciting way.

Remember, these three points are only part of the battle. If you feel like an expert English writer and speaker could make your business more successful, then look for someone to help you write your emails. A professional email gives your business a professional image.

What is your academic qualifications, and how many years of experience have you on this work. Are you writing as American style and approach? Perhaps you can give us some references.

According to the latest survey, it seems that letter writing and mails by electronic or printed pages have been rated as less effective as the new age of the many unwanted and unsolicited emails were discarded, and the Cyber Space becoming a place of Cyber Junks.

There are millions of unwarranted files, out-of-date information and false and untruthful writings and graphics that are no longer valid hanging around in Cyber Space. So much so that people are getting weary of emails received from people they don't know and addressed to a vague person, like "Valued Customer". Too much flattery puts the average receiver off, and would not even bother to open the mail and discard them into the BIN.

The email letter ought to do the most important part to let the receiver opens his/her door by :

1. Draw Attention.
2. Building Interest and Desire
3. Convincing the reader with true events in honesty and sincerity.
4. Urge them to take action.
