I always find a difficulties to make a follow up letter to all my prospective buyers after i had sent my quotation to them. Will somebody help me to give several samples of follow up letters?

Hi Jeco,

Most likely nobody has answered so far because it's quite delicate (and necessary) to write a follow-up letter, and possibly nobody wants to take the time to write it for you. Besides it's at least very hard - if not impossible - to write a general sample, as it depends very much on the precise circumstances.

So let's talk about the components. The very first subject you should touch is basically the question, "did you receive my quotation?" There you are showing your interest in serving your customer, and that's very important.

Next you might ask if they have already analyzed it or when they will have a chance to do that. Don't be too pushy, but at the same time make it clear that you wrote the quotation for a purpose, and not just for the heck of it.

After that it's hard to give you some kind of "rule", but you might briefly talk about options not mentioned in the quotation. Sometimes you might say at this time that you would accept a small trial order the first time, but be careful, as it might backfire. Your customer might feel that you are in a bad need to sell, and that pushes him away. Typically you would only offer this if he aks for it and you believe that it might be good being "accessible".

Also invite additional questions, to make your quotation more valuable to them. - Hmm, just had another detail in my mind, but forgot right away. So hopefully others will chime in with more hints.

I do appreciate if you can give the samples of the letter based on the AIDA principles.


Sorry i wasn't mentioning my business field , because I knew the letter depends very much on the precise circumstances.

Thanks for your [em19]! And don't be sorry for not mentioning your area of activity. It was better this way, and if you had included your website or e-mail address, moderators would have had the obligation to delete it.

As I do import only, and my partner is the main person to deal with customers, I'm not the "authority" to write letters or e-mails based on the AIDA principle. Though hopefully one of the other members will chime in. It would be a very useful practical example of business English.

I know this theme was begun 2 years ago but I´ve found it and think it`s relevant to many different people. It´s not so easy to write a follow-up e-mail for quotations that have been sent and I usually keep it short - below is an example of what I write which may vary depending on the the amount of contact there has been and additional queries that may have been made apart from the request for a quotation.

 

Dear ***********

In relation to the  quotation for ****************sent on **/++/-- I wanted to confirm that it had been received and to enquire if you have had the opportunity to review and compare it.

Should you require any further information in relation to the sample such as possible variations etc please advise and I will forward this to you.

As discussed we can also prepare a sample as per the specifications in the quotation if required for you to evaulate the quality of the components and workmanship.

I wrote follow up lettle to my customer and got reply: We have not yet finilized the products we want and will let you know when we finilize.
How do you think of this?
