Maybe one idea is that people could take the basics first and buy some things when they get there later and see how things are, clothes can take up much room, if the fact is its a important trip and i paid $100 for a warm coat, its your choice if to take back with your or not.
Check the hotel if they have computer in the room maybe you dont need your laptop, hotmail, and most email servers has your copies on there, so its easy to get them, take a good usb stick with other info,
