how to introduce my compamy to latency customer?

Dear friend.

I have done foreign trade for 2 monthes .as we know ,the means to sell my product(mould andblowing   mouldmachine),one is adversitment on web ,asking customer to contact me,but due to economical .

we only a free member on some web.,we can not reply enquiry.The other is send the email to latency customer to introduce my company and  product.during these days ,

i have sent more than 100 emails to customers,but most of these email receive reply.i want to know how to write a good emil to attract customer to interest my product.

May be this guideline can help you to write up a good business letter introducing yourself to the world.
 

1. Start From the End

Decide what the result of your letter ought to be. List things you’d like to say, and review them. Remove those not supporting the main idea. Good letters have a strong sense of purpose.

2. Get to the Point Early

Don’t delay. You should state your main cause in the first paragraph.

3. Put Yourself in Your Reader’s Place

If the letter came to you, how would you respond? Be pleasant; try to turn negative statements into positive ones.

4. Say it Plainly

Phrases like “in compliance with your request” and “enclosed herewith” are stilted. Write as you talk — naturally. Include just one idea. Sentences longer than two typed lines are suspect.

5. Clear the Deadwood

Cut words, sentences, and even paragraphs that don’t contribute. Work hard to simplify your reader’s job. Be especially careful with adjectives, which can sap strength from your words.

6. Use Active Verbs

Passive voice is weak and confusing. “A decision has been reached by the committee” is inferior to “The committee has reached a decision.” Also, readers can sense your evasiveness if you write: “Your order has been misplaced” instead of “I misplaced your order.”

7. Be Human

Your letter should read like a conversation. Address your reader by name: “Dear Ms. Jacco,” And if you can fit it in naturally, use Ms. Jacco’s name in the body. You want her to know the letter is personal. Whenever you can, use pronouns like I, we, and you.

8. Never Write in Anger

Anger will evaporate; a letter won’t. Devise a way to handle problems in an upbeat manner. Your chances of success will multiply tenfold.

9. End With an Action Step

The end of a letter should suggest the reader’s next move, or your own. Don’t write distracting closings like: “Again, thank you for . . .” or “If you have problems, please don’t hesitate to call.” Close with a simple “Sincerely,” and your signature; it may be a perfect ending.

10. Be Professional

The most well-written letters can’t survive bad presentation. Use a clean, logical format for your letter. A crowded or over-designed page distracts from your message.

This is Haji Taj Muhammad Khan based in Peshawar-Pakistan.My Firm is Registered with Chamber of Commerce Industry as Exporter of Garments/Rugs.

I have got my firm Registered with some Internet sites as a FREE-MEMBER,being a new comer it is not possible for me to get myself up-graded-in paid member-list.

I'm a worker in e-business,And I have once met the same situation to you,but I still persist sending the sell-self letter,and change the keywords design,you may insert  some simply described interesting topic,such as about your country's custom,the famouse city,and so on,and also,you may send him or her a beautiful card when you email him or her fist time,and then you circuitously introduce your product next time,I think it will get the better reply and have the high reply rate.

As someone who has done export activity for 5 years , I think part of the problem with us is lack of sufficient knowledge in English . To start a letter and say that " I am a worker in the E-Business industry is not simply right .

So let us work on our basics and present ourselves better.

I would like to mention one very important element is that when replying, you should know exactly what they asked and what they need.


What they asked is what they wrote in their letter sent to you, asking for the products, material they are interested in.


What they need is what you think they will need in the future. I mean when answering, please do not answer only what they asked. You seem to be passive. Answer their demands inside.
