What are the best things we should do when customer visit our factory?

It's a great opportunity when customer/buyer visiting to our factory. Skill of Negotiating is the first important to make customer get interest. Besides that ....any tips , advices or suggestions to build a long term business relationship?Please share your opinion, thanks in advance

er,agree with the above guy,moreover,we,factory may make full preparation for the visit of customer,book the hotel,arrange meal,etc.
Some small gift may benefit a lot to achieve further negotiation.
anyway,take it as a serious matter and treat with proper attitude.

Dear.Rani. If the buyer visiting to your factory, mean the buyer is serious of your product, You're right ! The skill of negotiating is very important too, If have a time, take them to the restorant have a lunch, picnic to Bali, Not just the customer but friends important too, like if I've a visit there.[em3]

You 're right,when customers want to visit the factory that means they are serious with our product.That's why some preparations has been made beside the technically matters like presented good products, price, and understanding the customer.Pick them up, take to the restaurant, tours of the city, till take them to the airport when they go back such as the way to entertaint them while they were here. But ussually they will visit to anothers company in the same city, or even in the same region as well, and the competitors from another companies will do the same actions to serve the best they can be .So it's not guarantee that they will buy from us after visit the factory.Any opinions from buyer/customer .... what considerations will you take to choose which factory/company you wanna deal with after factory tour?

This has a lot to do with the customer who will be visiting your factory.

1. What are their nationality, culture and business?
2. How big will the group be?
3. What is the purpose of their visit?
4. What size of account with this customer?
5. What are their age group and gender?
6. Are they coming with their families, and how long will their stay in your town?

Generally, this is what you should do:

1. Call a meeting with all the Departmental heads, the Production, Quality Assurance and Sales. Tell them of the visit by this so and so customer, why they are here and what they want to see.

2. Clean up the factory space, machine space and put away unwanted things.

3. Plan a program for this factory visit, what to show them, with Power Point Presentation of your company activities, achievements and credentials. Run through the presentation among your own staff and ask for feedbacks, fine tune the program. Departmental heads giving their talks on the various aspects of the production and quality check.

4. Make the presentation lively and not too boring, take them to the factory tour after the talks, and prepare some gifts for them.

5. Extra services such as picking them from airports, booking their hotels, and pick them from the hotel and sending them back.

6. Dinner invitation is important to Asian clients, from China, Japan and other parts of Asia, but we are not sure of the middle eastern client. The American would like to go to a pub for some beer and watch some cultural performances.

7. Samples of the product, catalogue, and something for them to bring back and remember. If you give them Batik shirts with SOLO labels, make sure they are right size.

If customer come to visit your factory. I think you must show the customer the power of your factory.Show him the showroom, office, and work shop. Tell him the product ability and show him what's the quantity of your product. If customer is confidence on your factory. Then if you can show your skill to talk a reasonable price to your products. If possible, show your boss to have a short meet with the customer. [em1]

give him a warm welcome and make him feel comfortable, and go easily.
i think this will impress buyer and will make stays for long term relationship, just show him your quality, buyer are much impressed when they see the good quality and the competitive price.

If you and your factory have the experience to face and negotiate with customers, it will not be a problem. Different kind of customers will have different culture, and different factory will have different service, not the same.

Just show your kindness and good service to them, and the most important point is you can offer what they want. Even if you can't come to a deal this time but you can be friends and have chance to cooperate in the future.

When I was in former company, nearly every day has the customer come and visit, it can not be practical for preparation every time, but just prepare yourself at anytime. If you have the customer to come for the first time, then get as most things ready as possible.
