How to reply to customer when they inquiry first time?

I received many inquiry , but when i sent them the quote as their request, seldom received their reply again.
could you kindly tell me:How to reply to customer when they inquiry first time?

Replying to [Linda862]: If you send your quote without an answer,
it must be some reasons i.e. 1/ your quote is not meeting the
reqirement of your customer. 2/ The customer is too busy or too
lazy to give you a response. What you can do is to ask them if
they have got your quote and how they think regarding your offer
within a few days, maybe you will have answer or you have to put
it in your record file.

Replying to [Linda862]: After receive enquiry sheet, we must reply customers in the first time. If we could not get their response in next day, that will request us to follow this enquiry. When resend the email to customers, you may consider to use hotmail, yahoo to contact your customers. Because maybe customers email add reject your company's.

First thing is to assess the seriousness of the inquiry and determine whether or not it has enough details for you to make an offer. If your guts tell you that it's such a vague inquiry not worth replying to, maybe you're right. If there are not enough details, rather than immediately making an offer, ask questions. If there are enough details given then make an offer and respond to each and every aspect. You can use the Alibaba guide in making an offer but if some details are missing then you should put them in somehow.

More likely the buyer is selling similar items as you, checking to see how well the market responds to this particular selling item. Or they could be in searching of the lowest price among hundreds of suppliers of the same product to get the best bargain.

There are 3 cases for not receiving a reply :
[A] If I am a honest buyer, these are some reasons not to give a reply to you:
1) your quotation is much higher than others, so I suppose we can not negotiate
2) your quotation is good, but I have already enough offers, and I can not contact all of them for further information or negotiayion because of time
3) your quotation is good, but unfortunately your message went to "spam" folder (i don't know why, but it happened very often regardless mail program I used)
4) your quotation is for another product, even if I ask very clearly and gave you complete informations about what I need, so I decide not to ask you again
[B] If I am not a honest buyer (a competitor of you, or a "walking around buyer") it's obvious that i will not reply to you, because I am not interested.
[C] I reply to you, but you don't get my message (went to "spam", deleted by mistake,...)
Good luck, do your best and don't worry, there are so many situations when it is not your fault when you get no reply.

maybe the enquirer is an invester who needs the information only to make budget assesment or feasibility study for a project he has in mind. try to give your best qoutation and be helpful by giving as much details as possible to make a difference from other suppliers, and hope for the best.
